Organising Guidelines for Sprint and other Short events

Admin can be done by 1 person and the start by another. However, given the constricted nature of rego and rapid starts it is essential to have 2 people and preferable to have a floater, particularly with SI cards to record and hand out.

SI gear: Start unit and stand. Clear and check units. Finish unit and stand. Download station connected to printer (to give elapsed time). Battery pack to power SI stuff. Lots of hire tags. Spare start and finish unit (they failed at joondalup!).Ian Dalton can be contacted for advice.  

2 Tables, chairs, pens, results string, two different colour punch cards (male/female). Cash box. Master sheet to record Name, start time, Hire SI card number. Strongly suggest a $2 surcharge for people without their own SI cards (over 50% of people last season). Streamers for finish chute leading to finish unit - essential. Small metal loop things to stick in ground for streamers.

One minute intervals, or thereabouts depending on relative abilities of people. ie. Some would run right past a family group so could be started 20s behind for example. This saves time when only the one course is being used.

Blank map must be displayed with a start triangle on it . Finish circle may not fit so just use the one triangle for both.

 
Entrants' Procedure

1) Rock-up.

2) Name onto master sheet, pay for event, collect SI card.

3) Fill in name on control card.

4) Warm-up.

5) Join start queue.

6) Clear SI card immediately prior to start.

7) Take map and Punch at start unit.

8) Run course.

9)Punch finish unit.

10) Proceed to rego table to collect elapsed time print-out.

11) Admin person writes this on the card and master sheet.

12) Hang card on results string.

13) Cool down, chat to other runners, congratulate setters on a great event.

 

Setter's Procedure

1) Obtain updated map.

2) Obtain permission to use start area/ choose start area: preferably under cover in case of rain.

3) Confirm where parking is available on the day of the event.

4) Confirm where toilets are available on the day of the event.

5) Armed with this information, only then start planning course.  See seperate Setting Guidelines.

6) Course should be vaguely around 3km in length.

7) Try and have a loop or at least last few controls visible so people can watch "orienteers"

8) Walk your proposed course to select specific control hanging locations and to note map corrections.

9) Make the map corrections.

10) Review the course on screen/paper then walk any route choices you didn't when you should've!

11) Contact Helen / Simmo etc to ensure enough controls available.

12) Email two .eps files to Damian at worldwide Nedlands. Blank map x4 and 75 - 100 course maps.

12a) Pay for maps, collect maps and receipt.

13) Collect map bags if you think you'll need them.

13a) Liaise with Sunday event people as often they nick the gear early in the week and leave the shed barren come Saturday arvo!!!

14) Collect all gear from shed and get to event 1hour before rego opens. Rego opens 30mins before first start time.

15) Controls out, set-up rego.

16) Check SI units functioning.

17) Sit at rego and watch event happen.

18) Collect all punch cards in from string.

19) Check master sheet to see if everyone is back.

20) Pack up.

 

Afterwards

1) Return gear to shed.

2) Compile results and email to West Australian and place on Web. Must be done Saturday.

3) Write thank you email to land owner.
