Using the “Map Bank” of previous courses

 

The Map Bank

Is a collection of previous years' event maps with courses, for reference by organisers, setters and controllers. It also contains results and setters’ reports.

Before starting any event planning:

Ask for the maps of either the previous courses set at your site or of your event type if it is special.

Use the previous courses and their results to calculate your ideal course lengths.

Look for earlier setters’ good ideas and avoid repeating their errors.

Plan drinks sites early, where they will be easy to reach from a car.

After your event:

Promptly return the borrowed maps etc, together with the following. (Hard copy of maps is needed but email of text is fine)

  • Maps showing all your courses. May be more than one course per map. Control descriptions sheets are helpful.
  • Corrections map – if any. This could be made cumulative over time.
  • Vehicle access map showing anything helpful to the next setters, eg:
    • How to find the site?
    • Landholders’ restrictions: paddocks with crops, stock, or tracks s/he wanted avoided.
    • Details of tracks: Drivable by ordinary cars; “4WD only” sections; obstructions
    • Locked gates and how keys were obtained
    • Routes across paddocks
    • Seasonal and weather dependent access changes eg “river dry in summer”, “impassable after rain”.
  • Electronic versions of new course maps and "All controls" map.
  • Setters’/Controller’s reports.
  • Results – as sent to the Newsletter.
